This policy covers personal data collected through the forms on this website. Cookies are covered in our Cookie Policy.

What we collect and why

Enquiry form

  • What we collect: your name, email address, phone number (if you give it) and your message.
  • Why: to reply to your enquiry and keep a record of our correspondence.
  • Lawful basis: our legitimate interests in responding to people who contact us.

Customer support and complaint form

  • What we collect: your title, name, email address, phone number and address; whether you live at the property and whether you are the homeowner; and the details of your concern or complaint.
  • Why: to investigate and resolve your complaint, and to keep a record of how we handled it.
  • Lawful bases: legal obligation, where we must handle complaints under the Consumer Code for Home Builders, the warranty provider's rules or consumer law; otherwise, our legitimate interests in resolving complaints and defending legal claims.

You don't have to give us your details. If you don't, we may be unable to reply to your enquiry or investigate your complaint.

We don't use your data for marketing, and we don't make decisions about you by automated means.

Who we share it with

We only share your data where we need to:

  • Webflow, Inc., our website host, which processes form submissions.
  • Outlook & Salesforce, which we use to receive and manage messages.
  • Others involved in handling a complaint: where relevant, our contractors, the building warranty provider, the Consumer Code's independent dispute resolution scheme and our professional advisers.
  • Authorities: regulators, courts or law enforcement, where the law requires it.

International transfers

Some of our service providers, including Webflow, process data in the United States. Where data leaves the UK, it is protected by an adequacy regulation (such as the UK Extension to the EU–US Data Privacy Framework) or by the UK International Data Transfer Addendum.

How long we keep it

  • Enquiries: 48 months from our last contact with you.
  • Complaints: 6 years from when the complaint is closed, in line with legal limitation periods.

After that, we securely delete your data.

Your rights

You have the right to access your personal data, have inaccurate data corrected, have your data deleted, restrict or object to how we use it, and receive your data in a portable format. Some of these rights apply only in certain circumstances.

To use any of these rights, contact us at info@chalegrove.com. We'll respond within one month.

Complaints

If you're unhappy with how we've handled your personal data, please complain to us first at info@chalegrove.com. We'll acknowledge your complaint within 30 days and keep you updated until it's resolved.

You can also complain to the Information Commissioner's Office (ICO) at ico.org.uk or on 0303 123 1113.
